1. Introduction
At Special Olympics Canada, we are committed to protecting your privacy and ensuring the security of the information under our control. We collect and use your personal information to provide the best program and donor experience possible, to help run Special Olympics activities. We ensure that all our staff, volunteers and coaches understand the importance of protecting your privacy and the commitment to the stewardship of our programs and the service and protection of the population we serve – children, youth and adults with an intellectual or developmental disability.
This privacy policy describes how Special Olympics Canada, Inc. (collectively “Special Olympics Canada”, “we”, “our” or “us”) collects, uses or discloses personal information about our:
- Donors;
- Attendees at fundraising events;
- Volunteers (including coaches) ; and
- Athletes, athlete family and team members who participate in national or world games (collectively “you” or “your”).
We will only collect, use or disclose your personal information in accordance with this policy unless otherwise required or permitted by applicable law.
2. Special Olympics
By way of background, Special Olympics operates through different organisations:
- Special Olympics, Inc. (“Special Olympics International” or “SOI”) is the international organizing body for the movement, headquartered in Washington, D.C.
- Each country has a separate Special Olympics accredited organisation or founding committee that you may interact with locally (“Accredited Programs”). Special Olympics Canada is Canada’s national Accredited Program.
- Special Olympics Canada Foundation.
- Provincial and territorial chapters of Special Olympics Canada (collectively, “Special Olympics Canada Chapters).
- Provincial games, national games, world games and other events often have Local Organizing Committees (“LOCs”).
3. Scope
This privacy policy describes:
- How Special Olympics Canada collect, use, disclose and protect your personal information of individuals when you interact with us, both online (including via our website (Special Olympics Canada | Special Olympics Canada) and offline;
- The types of information we may collect from you or that you may provide when you interact with us, including when you donate to us, attend our events, volunteer for us or participate in national or world games; and
- Our practices for collecting, using, maintaining, protecting, and disclosing that information.
For further clarity, this policy applies solely to information Special Olympics Canada collects, uses or discloses under our control. This policy applies to information we collect, use or disclose when you communicate with us via email, text or on the phone. This policy does not apply to your personal information that is collected by or on behalf of the Special Olympics Canada Chapters , SOI (the international organizing body), LOCs (other national bodies) or Special Olympics Canada Foundation; please review the privacy polices of our provincial, territorial, national or international Special Olympics organizations to understand how they may process personal information they collect from or about you. However, as described in further detail below, we may collect personal information about you from the Special Olympics Canada Chapters you may have a relationship with, for purposes related to the national or world games or special events you may attend, volunteer or participate in.
4. What is personal information?
Personal information means any information about an identifiable individual, including information that can be used to identify you. This includes your name, email address, telephone number and payment information. Personal information does not include any contact information that is solely used to communicate with you in relation to your employment, business or profession, such as your name, position name or title, work address, work telephone number, or work e-mail address.
Personal information also does not include information that has been anonymized or aggregated in such a way that there is no serious possibility it can be used to identify an individual, whether on its own or in combination with other information.
5. Information we collect about you
Outlined below are the types of information we may collect from you:
- Personal information: Special Olympics Canada collects personal information when you voluntarily provide it, for example when you: elect to participate in world or national games, correspond with us; complete our website forms; donate funds; register to attend our events or participate in a program; participate in a survey; submit a volunteer application; or request to be on a mailing list.
The amount and type of personal information we request depends on whether you are visiting our website or whether you are participating (or seeking to participate) in our programs and services.

In many instances, Special Olympics Canada obtains the personal information identified above from the Special Olympics Canada Chapter you are affiliated with. Specifically, we obtain the following personal information from your local Special Olympics Canada Chapter: contact information; gender; date of birth; medical information and history; biographical information; photography of you; coaching certifications and security check status.

Online message board and social media
We may also collect information from individuals that participate in Special Olympics Canada maintained online message boards or social media accounts, if individuals choose to publicly disclose such information through such online platforms.
Non-personal information: This is information that does not directly or indirectly reveal your identity or directly relate to an identified individual, such as demographic information, or statistical or aggregated information. Statistical or aggregated data does not directly identify a specific person, but we may derive non-personal statistical or aggregated data from personal information.
Technical information: your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform, or information about your internet connection, the equipment you use to access our websites.
Interaction data: This is non-personal details collected to provide information about your website and other interactions, including details and information about how you use website such as events and venues you viewed or searched for, length of visits to certain pages, page interaction information (such as scrolling and clicks), methods used to browse away from the page.
How do we collect your personal information?
We use different methods to collect your information, including through:
- Information you provide to us. This information may include:
- when you make an inquiry about joining us an athlete or volunteer or to become a donor;
- when you access or use our services or events;
- when you sign up to become a donor, to attend a fundraising event or join our mailing list through our street or door to door fundraising outreach initiatives’;
- when you participate in national or world games or other international or special events;
- publishing articles, media relations and postings on SOC website, displays or posters;
- during communications between you and our representatives;
- when you interact with us via social media;
- when you ask to be placed on one of our mailing lists; or
- when you become a customer or a debtor of ours
- Information collected through automated technologies or interactions. As you navigate through and use our App, we may automatically collect through cookies, web beacons, and other tracking technologies the following types of data: usage details, traffic data, logs, location data and information about your phone and internet connection, including your IP address, operating system, and browser type. - Third parties.
- Information from Special Olympics Canada Chapters. We may collect personal information about you from the Special Olympics Canada Chapters you may have a relationship with, for purposes related to the national or world games or special events you may attend, volunteer or participate in.
- Buying, selling or renting donor lists. To reach a greater number of potential donors and sponsors, we may buy from, sell to, or rent to/from 3rd parties’ donor and sponsor information (specifically mailing address). In all instances where we buy, rent or sell your mailing address, we or third parties we sell or rent our lists to, will not
have access to your information, unless you sign up to donate or participate with us or the 3rd part as a result of the specific mail-based marketing campaign. - Further information and opt-Outs: If you wish to know the names of these organizations, please contact us at your convenience using the information outlined in this section. If you, as a donor, prefer that Special Olympics Canada not use or disclose their personal contact information to request financial support or to provide further information, donors may opt out of such uses and/or disclosures by using the option to opt-out on the bottom of all our direct mail letters. In addition, we may use your personal information for the following purposes:
- To establish and maintain responsible relations with individuals and to provide ongoing service;
- To establish and manage national membership databases, including on behalf of the Special Olympics Canada Chapters;
- To establish and manage donor and volunteer databases;
- To understand individual needs;
- For the development, enhancement, and delivery of Special Olympics Canada programs, products and services;
- To administer contests and events;
- To authenticate you as a donor, sponsor, athlete, coach, volunteer, agent, representative, guardian or 3rd party service provide;
- For investigations and disciplinary proceedings;
- To manage and develop Special Olympics Canada’s business and operations, including personnel and employment matters; and
- To meet legal and regulatory requirements.
8. How do we share your information?
We may disclose your personal information to:
- Other Special Olympics organizations (e.g., SOI, LOCs, Special Olympics Canada Chapters) for event coordination and organization, insurance, marketing and statistical purposes.
- Contractors and service providers to help us operate, to manage our website, to organize and manage games and other events, fulfill requests by you, and to otherwise provide services to you (including, without limitation, web hosting providers, IT systems administrators, payment processors, data entry service providers, fundraising platforms, electronic network administrators, and professional advisors such as accountants, solicitors, business advisors, event planners, and consultants). When Special Olympics Canada discloses personal information to third-party service providers with whom it has a contractual relationship, the third-party providers will only be given access to personal information that is needed to perform the related function and may not use it for any other purpose
- Medical emergency responders, in the event of an emergency.
- With government authorities. For example, if you require assistance with preparation of visas to travel to international events.
- Third party researchers, universities or public health agencies, who are studying disabilities and the impact of Special Olympics Canada activities. Note, we only disclose anonymized data and will take steps to ensure that information will only be published in an aggregate form without identifying any individual.
- A successor in the event of a restructuring, reorganization, dissolution, or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which personal information held by us about our users is among the assets transferred; and/or
- Any organization for any authorized purpose with your express consent.
We may also disclose your personal information:
- to comply with any court order, law, or legal process, including responding to any government or regulatory request, in accordance with applicable law;
- to enforce or apply our terms of use and other agreements; and/or
- if we believe disclosure is necessary or appropriate to protect our rights, property, or the safety of our users or others.
9. Getting and withdrawing your consent
We only collect information by lawful means. When we do so, we will collect, use or share your personal information with your consent for the purposes identified or as otherwise permitted or required by law. In compliance with our privacy obligations, we may obtain your permission based on implied consent (including through this privacy policy) or through other means (such as express consent). However, in some situations, the law allows us to collect, use or disclose personal information without your consent.
You can withdraw your consent to the collection, use or disclosure of your information at any time. However, in some cases withdrawing consent will mean that we can no longer provide you with certain services or perform certain tasks where the information is required to do so.
You may withdraw your consent to the collection, use or disclosure of your or your child’s personal information at any time by contacting the Privacy Officer (see ‘Contacting information’ below) and, subject to any legal constraints, we will comply with your request.
10. Direct marketing communications
We may send you direct marketing communications and information about our events that we consider may be of interest to you or to solicit donations. These communications may be sent in various forms, including mail, SMS, fax, and email, in accordance with applicable marketing laws, such as Canada’s Anti-Spam Legislation (CASL). If you indicate a preference for a method of communication, we will endeavour to use that method whenever practical to do so. In addition, at any time you may opt-out of receiving marketing communications from us by contacting us (see ‘Contacting information’ below) or by using the unsubscribe mechanisms provided in our marketing communications.
11. Automatic data collection technologies
Special Olympics Canada utilizes cookie technology to store some information on your computer when you access our website. This information does not contain any personal information but enables us to communicate more meaningfully with you. Most browsers are initially set-up to accept cookies, but you can set your browser to alert you every time a cookie is offered, letting you decide whether or not to accept it. You also have the option to set your browser to refuse cookies.
We use the following types of cookies and tracking tools:
- Essential Cookies: Required for the core functionality and security of our Website. These enable features like login, account access, and fraud prevention. These cookies are necessary and cannot be disabled.
- Functional Cookies: Enhance your experience by remembering preferences such as language, region, and display settings. They also help us deliver personalized content and recommendations.
- Analytical Cookies: Collect data on how you interact with our Website, such as pages visited, actions taken, and errors encountered, to help us improve performance and user experience.
- Advertising Cookies: Track your online activity across websites and devices to deliver relevant ads and measure the effectiveness of our marketing campaigns. These cookies help avoid showing you the same ads repeatedly.
Special Olympics Canada website uses Google Analytics , a web analytics service of Google, Inc. ("Google"), or comparable technology. Google Analytics uses "cookies", which are text files stored on users’ computer, to analyze how they use the website. The information generated by the cookie about use of the websites (including IP address) is sent to a Google server in the U.S. and stored there. This information is aggregated and logged, and used to measure statistical information about usage of the site, including but not limited to the total number of visits, average time spent on the site, and pages viewed, both in real-time, and within a certain historical time frame. Special Olympics Canada uses this aggregated information to measure the use of our site and to improve the content and usage of our site.
Additionally, Google may transfer this information to a third party when required by law or in the case of a third-party processing information on Google's behalf. In no case will Google use users’ IP address in connection with any other information held by Google. Users can set their internet browser to prohibit the installation of cookies, although some features and functions of the website will then be unusable.
By using Special Olympics Canada website, users consent to the processing of user data collected by Google in the manner described and for the above mentioned purpose. Special Olympics Canada website uses the "Anonymize IP" function of Google Analytics which works with a shortened form of IP addresses to avoid direct personal identification.
As individuals/users interact with Special Olympics Canada websites, third party advertising partners may use cookies that are placed on user’s computer, tracking pixels, web beacons and similar technologies to identify users as a visitor to the websites, and present users with targeted ads to help promote Special Olympics Canada. Users can opt-out of the use of information for select ad targeting by visiting this site: http://youradchoices.ca/choices, and also by setting up “Do Not Track” options available through their browser. Special Olympics Canada also occasionally provides personal information to trusted advertising partners for the purpose of presenting the user with targeted ads on behalf of Special Olympics Canada. Users can request that their personal information not be shared with advertising partners by contacting communications@specialolympics.ca.
You can opt-out of several third-party ad servers’ and networks’ cookies simultaneously by using an opt-out tool created by the Digital Advertising Alliance of Canada. You can also access these websites to learn more about online behavioural advertising and how to stop websites from placing cookies on your device. Opting out of a network does not mean you will no longer receive online advertising. It does mean that the network from which you opted out will no longer deliver ads tailored to your web preferences and usage patterns.
12. Security
The security of your personal information is very important to us. We may hold your information in either electronic or hard copy form. We take reasonable steps to ensure your personal information is protected from misuse and loss and from unauthorized access, modification, or disclosure. Safeguards include: physical safeguards (such as locked filing cabinets and rooms); organizational safeguards (such as permitting access to personal information by staff on a "need-to-know" basis only); and technological safeguards (such as the use of passwords, encryption, and audits). The categories of individuals within our organization who may access your personal information include employees within the following Special Olympics Canada departments: (a) Finance; (b) Marketing; (c) Donor Relations; (d) Sports; and (e) Information Technology.
Special Olympics Canada requires that any individual or third-party who collects, uses or discloses personal information on behalf of the organization complies with the provisions of this policy. This will be done through the signing of confidentiality agreements, privacy training and other contractual means.
Unfortunately, no data transmission over the Internet can be guaranteed to be totally secure. Accordingly, any personal information or other information which you transmit to us online is transmitted at your own risk. We endeavour to take all reasonable steps to protect the personal information you may transmit to us or from our online services. Once we do receive your transmission, we will also make our best efforts to ensure its security on our systems.
Care will be used in the disposal or destruction of personal information, to prevent unauthorized parties from gaining access to the information.
13. Data retention
Except as otherwise permitted or required by applicable law or regulation, we will only retain your personal information for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Under some circumstances we may anonymize your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.
For Quebec Residents, if your data is anonymized, we will comply with Quebec laws and regulations ensuring your Personal Information is anonymized in accordance with generally accepted best practices and the criteria and terms determined by the regulation.
14. Third-party links
Our website may include links to third-party websites, plug-ins, services, social networks, or applications (collectively, “Third-Party Services”). Clicking on those links or enabling those connections may allow the third party to collect or share data about you. If you follow a link to a Third-Party Service, please note that these third parties have their own privacy policies, and we do not accept any responsibility or liability for these policies. We do not control these Third-Party Services, and we encourage you to read the privacy policy of every Third-Party Service prior to use.
15. Minors
Special Olympics Canada may collect personal information about individuals who are under the age of consent, which is 13 or 14 depending on your province or territory, or who are otherwise not able to give valid consent. At or before the time Special Olympics Canada collects personal information about such an individual, Special Olympics Canada will seek the consent of someone who is able to give consent on their behalf, such as the individual’s parent or legal guardian.
16. Cross-Border Transfers
We are headquartered in Canada; however, please be aware that information you provide to us or that we obtain as a result of your use of our services may be collected in your jurisdiction and subsequently transferred to, maintained and/or processed outside of your jurisdiction (including for residents of the province of Quebec, outside of Quebec), including to jurisdictions where our service providers operate. Other jurisdictions may have different data protection rules than Canada. While your Personal Information is outside of Canada, it is subject to the laws of the country in which it is located. Those laws may require disclosure of your Personal Information to authorities in that country. 17. Data Subject Rights
You may request access to any personal information we hold about you at any time by contacting us (see ‘Contacting information’ ’ below). Where we hold information that you are entitled to access, we will try to provide you with suitable means of accessing it (for example, by emailing it to you).
If you believe that personal information we hold about you is incorrect, incomplete, or inaccurate, then you may request us to amend it. We will consider whether the information requires amendment. If we do not agree that there are grounds for amendment then we will add a note to the personal information stating that you disagree with it, together with your requested amendment. If we correct your personal information, we will, so far as is reasonably practicable, inform every other person to whom we have disclosed that information of the correction.
For Quebec residents, you are entitled to the following additional data subject rights in respect of your personal information, including:
- Your right to deletion – You have the right to ask us to delete your personal information in certain circumstances.
- Your right to be informed of and submit observations regarding automated decision making – You have the right to ask us for additional information on processing on automated decision making and the right to submit observations to a designated individual within the organization.
- Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
- Right to be informed. – You have the right to be informed about what personal information is collected, used, disclosed, retained, and deleted. Even if this is what this notice is meant to achieve, you may request additional information to clarify the extent of your consent.
We may request specific information from you to help us confirm your identity and your right to access, and to provide you with the personal information that we hold about you or to give effect to other data subject rights you may be entitled. In certain situations, we may not be able to fulfil your request. If that is the case, we’ll explain the reasons for our decision when responding to your request. For example, in some cases the information you request access to may contain details about other individuals, or there may be legal, security, or commercial proprietary reasons why information is withheld.
